Background
Inadequate HR systems hinder organizational efficiency and employee satisfaction. Our project seeks to modernize HR processes, integrating payroll, onboarding, leave, loans, recruitment, HMO, and learning. We aim to boost operational effectiveness and elevate the employee experience.
Problem
Existing HR systems lack seamless integration and efficiency, resulting in fragmented management of crucial aspects like payroll, employee onboarding, leave, loans, recruitment, HMO, and learning.
This fragmentation hampers productivity and employee satisfaction.
Stakeholders
Keystone Employee: The end-users of the Employee HRMS platform,
Keystone Management: They focus on growth, maintenance, expansion and success of the company.
Goal
Our objective is to develop a user-friendly Human Resource Management System that serves as a centralized hub for all HR functions, simplifying processes and promoting a cohesive work environment. We strive to empower HR teams with intuitive tools.
Through this, we aspire to elevate organizational efficiency, nurture talent, and contribute to sustainable business growth.
This question focuses on the experience of the HR system, and seek to ensure that the HR system not only meets functional requirements but also actively contributes to a positive employee experience and engagement within the organization.
Previous Screens
Some elements were not consistent across the screen, and the responsiveness for accessibility on different screen sizes is very bad.
Solution Summary
To arrive at an effective solution, we conducted user research with our employees to identify pain points and areas for improvement.
By implementing an HRMS system with the following features, Keystone Bank can streamline and automate their HR processes, improve data accuracy, and provide real-time insights to make better business decisions. The insights we gathered from user research helped us to create a more user-centered solution that meets the needs of Keystone Bank employees and the organization as a whole.

Design System Essentials
The Keystone Bank HRMS Design System is a foundational tool that guides the creation of a powerful, user-centric HRMS. By following these guidelines and principles, we aim to enhance operational efficiency, employee satisfaction, and the overall HR experience at Keystone Bank. This design system is a living document, constantly evolving to meet the needs of our growing organization and ever-changing industry landscape.

Mobile Responsiveness
Collaboration and Handoff
Collaboration between the Product team and the Keystone Bank team was a little bit slow as the Keystone stakeholders are also consumed in their organization work. So, we made sure we are available when they are available even in short notice.
We had design review with the Keystone stakeholders after over internal team review and make necessary update inline with best design practice. We also aligned the design to their business model.
During internal reviews, we carried the developers along to be sure of what is obtainable as we were designing. When they made a recommendation of best development practice, we also validate with the best experience possible. Together we were able to provide solution to the HRMS.
We had a design system that made our designs consistent. So, this really helped all the designers that worked on the project as it made it faster for us to design.
We introduced the DS to the developer and it was an easy one as development was component based on our design system.
Also, we made sure that we tested our prototype so that the developer can play around the prototype for implementation.
Recommended Future Iterations
In terms of future iterations, there are several opportunities for improvement and expansion of this HRMS system. One potential area of focus could be further integration with other HR systems or tools, such as performance management or talent management systems. Additionally, the system could benefit from more advanced reporting and analytics capabilities, allowing for more granular insights into employee data and trends.
As technology continues to evolve and new HR challenges arise, it will be important to stay up to date and continue to iterate on this HRMS system in order to ensure that it is meeting the needs of both employees and HR teams. Regular user research and feedback sessions will be key in identifying areas for improvement and guiding the direction of future iterations.
Constraints and Setbacks
One major constraint we faced during the project was the need to integrate with various legacy systems that were still in use within the organization. This required significant effort to ensure that our HRMS system could communicate with these older systems and retrieve necessary data.
Additionally, we encountered some challenges in ensuring data accuracy, as there were inconsistencies in data across various departments. We had to spend a considerable amount of time on data cleansing and mapping to ensure that the system could accurately capture and process employee information.
Overall, these setbacks and constraints helped us to better understand the complexity of HR processes and systems and allowed us to develop a more robust and effective HRMS solution.
